The total number of office spaces allocated to each department was based on a multi-year study completed by the Dean’s Office and Facilities Planning and Management. Whenever possible, departments are grouped together in office suites, often on the same floor as their primary studio locations. Decisions about specific office placement within these suites or groupings (who goes where) are made by department chairs. Approximately 30% of all faculty office spaces will be shared.

Not necessarily. As you know, the college is faced with more faculty than space. As a result, each department was allocated a certain number of offices based on a multi-year study.  Chairs will be working with faculty over the next few months to find the best solutions for each faculty member. This move also provides the opportunity to create communities of departmental faculty on each floor.

On floors 2, 3, 4 and 5 there will be focus rooms at each end of the corridor (7 in total). These will be available to reserve via Skedda. The focus rooms will have a meeting table with space for 4 people, a large whiteboard and a monitor for digital presentations.

Focus rooms will be reserved on a first-come, first-served basis. You will be able to schedule the rooms through Skedda, the college’s online room reservation system. See https://design.skedda.com/

To finish this project over summer 2024, we need to start as soon as possible. We know the end of the semester is a busy time for everyone, so if you can be ready sooner, that will help. All materials will need to be boxed up and ready to be moved by Monday, May 20. This gives you 9 days after classes end. Contact us as soon as possible if you need additional help meeting this date.

The finish date for the project is August 1. At that time, you should be able to move back into your office. We will be adjusting that date if necessary as we move through the summer. Please monitor your email or the project website (https://go.iastate.edu/QRIG4O) periodically for updates.

We have some rooms that we plan to make available for faculty and staff. Please email dsn-moves@iastate.edu to let us know that you will be needing a place to work.

Items that can be resold or reassigned will be sent to ISU Surplus (formerly known as Asset Recovery). They will be held in trailers until they can be put into ISU Surplus’s inventory. We have been told this may take up to a year. All materials that we send to ISU Surplus will be reassigned to another department or sold.

See https://surplus.iastate.edu/about/mission

Some things will be deemed un-saleable. If there is value in recycling these items, they will be taken for scrap. The goal is to have as little as possible end up in the landfill.

You can designate any items (chairs, models, large artwork) that you want us to store over the summer. We will move it to a secure location over the summer, then move it into your office when the project is finished. Please keep in mind that the amount of space you have in your new office may be different (shared office, inside versus outside offices are different sizes). Also, remember that everyone will be receiving new desk chairs and side chairs.

Items to store should be labeled with your name and what office it will be moved into at the end of the project. Labels will be provided for downloading on this project website.

While your current furniture may suit your needs, it may not suit the next occupant of your office. With that in mind, all offices must be brought up to the same specifications. This includes new flooring – improving air quality in the building – new paint, and more ergonomic furniture. If you have already purchased a desk chair or other ergonomic aid, you are welcome to keep that.

If you wish to pull it up and re-use it in your new office, you may do so. If you do not wish to uninstall it, it will be removed and discarded. We will be installing carpet in the offices that should dramatically cut down on dust and dirt issues. We will not pull and keep your flooring for you.

See flooring information at the end of this FAQ.

The carpet we are installing is intended to be easier to clean and to not trap as much dirt and dust as regular carpet. Because faculty and staff may be moved around as needs change, all offices will be outfitted the same way.

We will provide a first round of boxes sometime after spring break. You will need to box up everything in your office that you want to keep. When you are finished, please use the included labels to write your name, what office you CAME from and what office you are GOING to. This should be placed on any SIDE of the box (not the top). Anything left in the office after May 20, 2024, will be sent to ISU Surplus or recycled. If you need more boxes, please send an email to dsn-moves@iastate.edu and we’ll deliver them to your office. You can also get more boxes from the mail room (158 Design).

See above. Email dsn-moves@iastate.edu, visit this project website (https://go.iastate.edu/QRIG4O) or stop in room 158 Design (the mail room) to get more boxes. Please make sure to get a location sticker for each box and remember to affix the sticker to a SIDE rather than the top of each box!

Boxes should be stacked in your office. We will move the boxes first to secured studios in the building. Then we will move the furniture. You can help us by making the boxes accessible (closer to the door, for instance).

We understand that some of you will have more difficulty than others in preparing for this project. We have hired students to help you. They will be available starting after spring break. The sooner we can start helping you, the better. Send us an email at dsn-moves@iastate.edu or visit https://go.iastate.edu/QRIG4O for more information.

Let us know by contacting dsn-moves@iastate.edu or using the project website at https://go.iastate.edu/QRIG4O. We have limited space, but we will do our best to accommodate everyone.

Boxes and furniture to be saved will be stored in studios in the College of Design over the summer. We will make sure that door codes are changed and access is limited to custodial staff.

It may be difficult for us to do this, but if it is an emergency, we will do our best to accommodate you. Please remember we will be moving and storing several hundred boxes. These will all be stored by stacking them to take up the least space.

Furniture you want to keep should have a label placed on it indicating that it is to be saved. Labels will be made available on each floor to facilitate this process.

Professional movers from Lint Van Lines will move most of the furniture being sent to ISU Surplus. Students will be tasked with moving boxes and furniture into studios over the summer.

We will not be responsible for watering plants over the summer. You should take them home for the duration of the project.

If you need to recycle student files (especially those with personally identifiable information), there will be gray document destruction bins on each floor. Other paper materials can be recycled in the blue bins, while cardboard should be taken to the dock recycling area.

If you have pens, pencils, drawing materials, etc., that you think may still have life in them, please consider donating those to the Design Closet. There will be labeled boxes placed in each hallway expressly for this purpose.

If you have books you don’t need anymore, please consider donating them to the book sale happening on Monday, April 22, from 8 a.m. – 4 p.m. and Tuesday, April 23, from 8 a.m. – 2:30 p.m.

If you find additional books you don’t want while you are cleaning/boxing after this date, please place those in the used book boxes located in each hallway.

We are not planning on adding any additional electrical connections for this project but we always want to know if you are having issues in your offices. If you are having heating, cooling, electrical or acoustic issues in your office, please contact Mike Miller (mcmiller@iastate.edu) and we will do our best to address them.

Windows into offices will have an opaque film applied for privacy.

Because we are installing new doors, you will need to get new keys. One advantage is that we can key all the focus rooms to your office key. You will not need an additional key to open those doors. Please hold on to all of your office keys over the summer. Please don’t leave them in your office. We will collect old office keys when issuing your new keys.

If you need to move large, heavy things (like file cabinets or map drawers) to a studio from your office, please contact us as soon as possible. Contact dsn-moves@iastate.edu or visit https://go.iastate.edu/QRIG4O. The earlier we can get those items moved in the semester the better.
